You will be contacted before the race by an area coordintor. You may not be contacted right away... so don't panic.

Area Coordinators Need

  • Marketing-Sponsorship Area Coordinator: Helps the director with sponsorships and marketing. Prepares thank you notes for sponsors. Works on attaining sponsors throughout the year for subsequent Berryessa Races. Will need to work the day-of to make sure sponsor agreements are achieved. Helps with brochure production and distribution.
  • Awards and Raffle Prizes Giveaways - Arrange and coordinate award ceremony area; displays of Lake Berryessa Swim photos and awards. Organize and in charge of giving away awards and silent raffle prizes after event. Works with Awards Coordinator.
  • Hospitality Coordinator * - Set up and coordinates food for volunteers and swimmers lunch, works with theme coordinator and volunteer coordinator.
  • Kids Race Coordinator * - Work with race director to promote and build kids events.
  • Results * - Work with timing company and volunteers to display results. Work with awards coordinator to distribute the awards.

Volunteer Position Descriptions

Friday June 1st:

Equipment Setup and Transport: Help load equipment in truck, go to swim site and set up equipment. May camp overnight and continue set up the next day if needed. Unload equipment in Davis after event.

Course Setup: Help set up course on lake and finish setting up course early Saturday morning. Requires staying the night.

Race Day, June 2nd

Finish Line: Work with start/finish coordinator and timing company to count and time racers as they cross the finish line.

First Aid: Need one doctor and 2 nurses to be available at first aid booth. Pick up cots at Woodland Red Cross and First Aid supplies at Civic Center pool.

Parking: Need to put out parking signs, and guide people to proper places to park. Could include shutting people from their cars to the race for other parking lots

Refreshments: Could involve picking up food and drink from Raley's in Woodland, helping to prepare or cut food, ice down drinks etc.

Results: Helping results coordinator post results and do possible computer entry.

Balloon Arch: Setting up balloon arch.

Registration: Helping register swimmers.

Registration Greeter: Greet and guide participants to the swim and where they should go to register.... direct traffic during registration. Need an outgoing, friendly personality for this.

T-shirts/Mugs: Pass out mugs and t-shirts on race day at table.

Water Safety: You will be stationed on the water in a canoe or kayak to ensure the racers safety.

Awards: Sort and give out awards race day.

Clean up: Help load equipment, clean area.

Body Marking: Help mark bodies of swimmers after they register.

Signs: Help post signs.

Bus Coordinator: Greet volunteers at parking lot and get them on buses. Tell them when the bus leaves from Berryressa. Make sure announcements get made about buses leaving at swim. Coordinate any on-site carpooling if needed if buses are full. Tell volunteers to check in at volunteer table.

Volunteer Table: Be at volunteers table to pass out shirts, mugs and lunch tickets to volunteers as they check in.

Small Supplies: Help pick up small supplies and give them to appropriate coordinators.
